Job Summary:
We are seeking a highly organized and detail-oriented individual to join our team as an experienced HVAC Dispatcher. The HVAC Dispatcher will be responsible for coordinating and dispatching HVAC technicians to various service calls and ensuring efficient scheduling and timely completion of work orders. The ideal candidate will have excellent communication skills, strong problem-solving abilities, and the ability to multitask in a fast-paced environment.

Duties and Responsibilities:
- Receive incoming service requests from customers and assess the urgency and nature of the issue.
- Schedule and dispatch HVAC technicians to service calls based on availability, location, and expertise.
- Maintain constant communication with technicians to ensure they are aware of their assigned jobs and any changes or updates.
- Monitor the progress of ongoing service calls and provide updates to customers as necessary.
- Coordinate with customers to schedule maintenance appointments and follow-up visits.
- Maintain accurate records of service calls, including customer information, job details, and technician assignments.
- Collaborate with the service manager to prioritize and schedule emergency repairs.
- Ensure that all necessary parts and equipment are available for scheduled service calls.
- Assist in resolving any scheduling conflicts or issues that may arise.
- Provide exceptional customer service by addressing customer inquiries, concerns, and complaints in a professional and timely manner.
- Stay updated on industry trends, new products, and service techniques to provide knowledgeable support to customers and technicians.
Qualifications:
- High school diploma or equivalent; additional education or certification in HVAC or a related field is a plus.
- Proven experience in a dispatching or scheduling role, preferably in the HVAC industry.
- Strong knowledge of HVAC systems, terminology, and common issues.
- Excellent organizational and time management skills.
- Exceptional communication skills, both verbal and written.
- Ability to multitask and prioritize tasks effectively.
- Proficient in using computer software and applications, including dispatching software and Microsoft Office Suite.
- Ability to remain calm and composed in high-pressure situations.
- Strong problem-solving and decision-making abilities.
- Customer-focused mindset with a commitment to providing exceptional service.
Working Conditions:
The HVAC Dispatcher will primarily work in an office environment, utilizing computer systems and communication devices to coordinate and dispatch technicians. Occasional on-site visits may be required to assess job requirements or resolve issues. The position may involve occasional evening or weekend work to accommodate emergency service calls.
